Standwell Posture Solutions

(Based on the GDPR – General Data Protection Regulation 2016/679) and UAVG -Uitvoeringswet AVG

1. General Principles
Standwell Posture Solutions is committed to protecting your privacy and personal data. We process your information in accordance with the GDPR and only for legitimate purposes.

We ensure:

● Personal data is used only for the purpose for which it is collected.
● Data is not shared with third parties, unless necessary for storage or legal compliance.
● Personal data is retained only as long as necessary.
● Security measures are in place to protect data from unauthorized access.
● Consent is obtained where no treatment agreement/contract exists.
● Patients are informed of their rights and the purposes of data processing.
● Notification is given if special procedures involving personal data are planned.

2. Personal Data We Collect
We collect personal data that you provide to us directly, as well as information gathered automatically during your interaction with our website.

Data we process may include:

● Name
● Gender
● Date of birth
● Address details
● Phone number
● Email address
● Other personal data provided via registration forms
● Activity records (e.g., website profile creation, correspondence, telephone calls)
● Location data
● Website activity and behaviour
● Cross-site browsing data (if part of an advertising network)
● Internet browser and device type

For each client we:

● Set up a new record on Cliniko
● Collect details with an intake form through JotForm and add those details to the client’s record in Cliniko
● Take posture pictures with PostureViewer (on an iPad), and save those to the client’s record in Cliniko
● Use Cliniko and Gmail to send treatment appropriate emails

3. Special and/or Sensitive Personal Data
We may also process:

● Health-related information
● Data of individuals under the age of 16 (with parental/guardian consent only)
● Citizen Service Number (BSN)
● Insurance relation number

We do not knowingly collect information from children under 16 without consent. Parents are encouraged to monitor online activity to prevent unauthorised data collection. If you believe we have collected data from a minor without consent, contact us at info@standwell.nl and we will delete it.

4. Purposes of Processing
Your personal data may be used for:

● Processing payments
● Contacting you by phone or email to deliver services
● Informing you of changes to our services and products
● Analysing website usage to improve our services

5. Automated Decision-Making
Standwell Posture Solutions does not make significant decisions based solely on automated processing. We use systems such as Cliniko only for operational purposes with human oversight.

6. Data Retention
We store your data for 20 years after the end of your treatment, as required under the MedicalTreatment Agreement Act. With your consent, we may share data with other healthcare providers for treatment purposes.

7. Cookies
We use functional, analytical, and tracking cookies to:

● Ensure the website works properly
● Store your preferences
● Improve website performance
● Tailor content and advertisements to your interests

You can opt out of cookies via your browser settings and delete previously stored cookies.

8. Data Security
We take appropriate technical and organisational measures to protect your data against misuse, loss, unauthorised access, and unlawful processing. If you believe your data is not secure, contact us at: info@standwell.nl

9. Where is my data being stored?
Data from inbound e-mails (including intake form information from JotForm) is stored on our company email servers, which utilize Gmail. These emails are synchronized across office computers, phones and tablets owned and used strictly by the business. All accounts are password protected as are the devices used to access e-mails. All our data is stored in the cloud and as such there is no local physical backup.

Cliniko uses GDPR-certified servers located in the EU.

10. Your Rights
You have the right to access, correct, or delete your personal data. You also have the right to withdraw your consent to data processing or to object to the processing of your personal data by our company, and you have the right to data portability. This means you can submit a request to us to send the personal data we hold about you in a computer file to you or another organization named by you. If you wish to exercise your right to object and/or right to data portability, or if you have other questions or comments about data processing, please send a detailed request to info@standwell.nl. To verify that the request for access has been made by you, we ask you to include a copy of your ID with the request. In this copy, please redact your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN). This is to protect your privacy. Standwell Postural Solutions will respond to your request within seven (7) business days.

You have the right to file a complaint with the national supervisory authority, the Dutch Data Protection Authority. You can do so via the following link:
